Working within a really well known media organisation, they are setting up a new marketing initiative under their umbrella company and are looking for a PA/Office Manager to report to the CEO and help support the team, initially this will consist of eight people, but this will grow over time.
This is an ideal role for someone who wants to build on their current experience and take there career to the next level. You will need to have experience of the main elements of the role but first and foremost be a really good administrator.
The role will require someone with excellent Powerpoint skills as there will be some in-depth presentation work, someone who is happy to support a team and can juggle all sorts of things at once. When the company is launched in July it will be really busy so we are looking for someone who can embrace a challenge and who is looking to fully involve themselves in their next step. Main elements of the role include, the usual diaries, meetings and travel arrangements, ensuring appropriate material is taken to meetings, organising meeting venues, minute taking, ensuring the smooth running of the office. o Finance and Accounts ? accounts payable, accounts receivable, expense reports, receiving quarterly Management reports and ensuring annual audit process is completed
o Company Secretary ? managing implementation of standing authorities and keeping Co. Sec informed of Board Calendar
o HR ? responsible for new joiner induction and related HR set up administration. Liaison with HR on all other people matters.
o IT & Facilities Management ? making sure the office and IT facilities are always in good shape, and getting parent companies facilities team involved to get things fixed. Making sure the office supplies are well stocked, including stationery, teas/coffee and snacks
o Legal ? maintain complete and update records of all supplier and Stakeholder contracts.
o Overall owner of operational policies for the team and responsible for ensuring ongoing implementation is up to scratch.
? Taking ownership of the internal meeting schedule, that enables the team to be fully aware of the company's activities
? Production of ad-hoc letters/ correspondence for CEO and team members,
? Filing and organisation of all necessary paperwork and assessing the urgency of the paperwork that needs attention. Allow for rapid retrieval for use by team members.
? Proof reading and amending documents.
? Ensure the company's incoming and outgoing post is distributed to the appropriate people within the team.
Other Responsibilities;
? The co-ordination of the Best Practice Summits, including logistics and collation of presentation materials and presenters.
? Support and coordination of communications that to be sent to all parts of the Group.
? Ad-hoc project work as needed. This will include co-ordinating such projects and ensuring all key milestones are met and everyone is aware of what is due, and by when. Specifically the initial set up of the Company and related Legal and Tax administration activities.
? Keeping abreast of all the campaigns that are being executed across the Group
? Responsible for organising the social events of the company
