Description

To assist the Asset Manager in ensuring a high standard of property maintenance services is delivered to the Association's tenants and to safeguard the long-term future of the Associations properties.

KEY AREAS: DAY TO DAY REPAIRS

Carry out pre and post inspections for responsive maintenance works, ensuring that repairs are accurately recorded and completed work has been carried out to a high standard. Undertake surveys and property inspections and prepare works specifications for all building maintenance works. Ensure all specifications conform to building and planning regulations, design, and future maintenance requirements, which provide best value for the Association.

Obtain estimates or tenders in line with the Association's policies and procedures. Liaise with the Association's approved contractors and monitor their performance.

Provide guidance and assistance the Property Services Assistants and other staff as required. Resolve maintenance problems and disputes.

To deal with complaints by tenants and external agencies, ensuring customer satisfaction with the service.

CYCLICAL AND PLANNED MAINTENANCE

To assist in the preparation of a schedule of properties to be included in the annual programme of external repairs. Arrange inspections and preparation of specifications and tender documents. Effectively manage contracts and works on site. Be responsible for service contracts, ensuring that best value is achieved. Process cyclical and planned maintenance invoices in accordance with the

Association's procedures.

ASSET MANAGEMENT Carry out surveys / condition surveys of the Association's properties and ensuring that the stock condition database is maintained. Identify properties in need of repairs or extensive works to the Asset Manager. Liaise with Environmental Health Officers to ensure that notices are dealt with satisfactorily. Identify and compile improvement programmes with the Asset Manager and effectively manage the programmes. VOID PROPERTIES As instructed by the Asset Manager, inspect vacated properties in line with The Association's Voids Policy/Procedure and prepare Schedule of works of all repairs required to put the unit into tenantable condition with the minimum delay.

QUALITY CONTROL Prepare and analyse reports on outstanding works, contractor performance and cost. Ensure that targets for post inspections are met. To develop and maintain information and filing systems. Liaise with the Development Department on defects in new properties and contribute to the review of the Design brief. Carryout Pre & Post Inspections. Ensure that maximum use is made of Information Technology. Assist the Asset Manager in the preparation and monitoring of the budget and generally ensure value for money in all works.

AIDS AND ADAPTATIONS

Ensure Aids and Adaptation work is carried out promptly with effective liaison with tenants and occupational therapists, ensuring that work is carried out in accordance with the Housing Corporation's procedures.

INSURANCE Process and monitor insurance claims liaising with consultants and loss adjusters as necessary. GENERAL To liaise with clients, other departments and external agencies as appropriate, including attending tenants/residents association meetings as required. Undertake any such duties, commensurate with the post as may be determined by the Head of Property Services.

Promote the best interest of the Association and its policies in all areas of work. Comply with and promote the Association's service standards in all areas of work.
