Description

Our Client are a very well established and successful law firm with a distinguished reputation built up over many years, based on the goodwill of numerous close client relationships, outstanding expertise in niche sectors and a careful attention to personal service and quality.

Our Client are recruiting for Secretary who who has strong documentation capibility with the excellent organisational skills.

DUTIES:

? Fast and accurate audio and copy typing using digital dictation, Word and document management system (cross training provided).

? Accurate presentation of all typed correspondence and documents including letters to clients and other firms of solicitors and typing of agreements, banking terms and conditions for customers, loan agreements and security documentation, bank mandate forms etc.

? Amendment of documents as required.

? Preparation of PowerPoint presentations, handouts and laminates for seminars.

? Completion of Client Account forms as required ? Opening and distribution of post.

? Photocopying, faxing, emailing and distributing information.

? Liaison with other members of the firm, clients and third parties in an efficient and courteous manner.

? Monitoring of e-mails and telephone calls when fee earners are out of the office. Passing on all relevant messages to fee earners in a timely manner.

? Building and maintaining knowledge of and having an interest in clients and their matters and the work in general.

? Maintaining an effective filing system and ensuring filing is kept up to date on a daily basis. Ensuring files are tidy to enable retrieval of requested files and documents with minimum delay

? Keeping copies of everything and filing all emails and other correspondence in date and time order.

? Completion of file closure forms and retention of a copy of the form, filed alphabetically in a central file.

? Regular archiving of files and lodging of documents and certificates in Records and recalling them as required.

? Organising billing using the Arista package including the creation of statements of accounts, preparation of final bills as invoices to send to clients and write offs.

? Maintaining appointments and Outlook scheduler, arranging meetings and in-house lunches as appropriate and other administrative duties as necessary

? Production and distribution of the Financial Services client briefing.

? Assisting in organising client events, lunches etc.

? Providing administrative support to the Team Leader and assisting him with the internal management of the team.

? Team secretarial duties including co-ordinating cover for secretarial absence, absence recording for the team, and inducting new starters.

? Organising travel arrangements

? Assisting all members of the Financial Services Team where possible and other administrative duties as necessary.
