Description
Our client, an Entertainment Company based in North-West London has an opportunity for an experienced PA to provide support to the CEO and COO.
Key Responsibilities
Organise and maintain diaries for both the CEO and COO.
Ensure the Chief Officers are well prepared in advance of meetings by advance collation of documents etc.
Making travel arrangements, completing itineraries and ensuring all relevant documents have been obtained
Drafting and typing of general correspondence, reports and other documentation
Attending meetings, taking minutes and producing accurate summaries of meetings as required
Provide information to all departmental heads as and when required
Dealing with expenses and invoices relevant to the Chief Officers, and anything which requires authorisation (liaising with department heads as required)
Screening of all mail, except Private and Confidential sent for the attention of the Chief Officers.
Drafting holding correspondences as appropriate in absence
Screening of all telephone calls that come directly into the office
Attending daily 'update' meetings to check progress of outstanding and current issues
Ensuring that action points are carried out in a timely manner, following management meetings.
Dealing with private matters for the Chief Officers as and when required.
Ensure the stationery is kept up to date and the office is presentable at all times
In addition to the duties outlined above, the jobholder may from time to time be required to undertake other duties as necessary to meet the needs of the company.
Undertake ad hoc projects, which the Chief Officers may be involved in
Essential Requirements
Fluency of German of French
Be able to work in a fast paced environment
Possess exceptional verbal and written communications skills
Be innovative and pragmatic with excellent problem solving skills.
Able to demonstrate absolute confidentiality and integrity and exceptional diplomacy
Strong organisational skills, with an ability to prioritise
Ability to work with minimal supervision and use own initiative
Ability to build relationships with internal and external clients at all levels
Good telephone manner
Able to demonstrate previous Director level PA experience
Education to Degree level or equivalent or able to demonstrate Graduate level qualities
Highly computer literate with experience of Word, Excel, Internet and E-mail
Possession of a Senior Level PA qualification would be an advantage.
This is a fantastic company to work for which offers and excellent working environment. The offices will be moving to the West End later this year, so you must be able to commute.
